JOB SUMMARY
Under the direction of the Coordinator, Admissions and Marketing, the Admissions and Recruiting Assistant oversees the general office operations within the Office of Admissions; to perform a wide variety of clerical and administrative tasks for the department and; to arrange and participate in special recruiting events on and off campus.
QUALIFICATIONS
- Bachelor's degree in business, communication, education, or other appropriate discipline, preferred.
- 3 to 4 years of relevant clerical and administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired.
- Proficiency in Microsoft Office and enrollment/admissions software (NursingCAS, CAMS, Oracle, Slate, Campus Café, etc.).
- Strong organizational skills and the ability to meet deadlines.
- Efficient typing and data-capturing abilities.
- Excellent communication and customer relations skills.
- Ability to work in a fast-paced environment.
- Multi-tasking and job-role flexibility.
RESPONSIBILITIES
- Serve as primary contact person for the Admissions office. Responsible for all general office support: answer phones and perform reception duties; respond to emails; prepare documents; maintain appointment calendars; schedule meetings as needed.
- Oversee a wide range of administrative functions within the Admissions Office to support routine operations and to manage special projects and recruiting events.
- Assist the Coordinator, Admissions and Marketing with planning and carrying out events, including college fairs, conference visits, and other such opportunities; attend events as needed and oversee assigned special events; travel as needed to fill-in for other Admissions staff or to represent MTSA as a representative of the Admissions Office.
- Participate in student recruitment fairs, prospective student tours, and various exhibitions.
- Oversee and carry out various day-to-day departmental administrative functions.
- Organize and maintain various departmental files and records, frequently involving cross-filing/cross-reference systems; perform a variety of tasks related to the development and maintenance of computerized departmental records; initial database input; ongoing use of the system, involving regular data input and using programs to generate a variety of regular and special reports.
- Serve as administrative liaison with perspective students, current students, faculty, staff, vendors, and/or other key department constituency: explain policies/ procedures; answer various questions; coordinate services; handle special requests or problems.
- Help process and manage applications for all MTSA programs.
- Compile information from manual and computerized records and files for reports and in response to specific requests by supervisor or others; prepare reports as requested.
- Assist with the admissions/onboarding process for prospective students.
- Answer application and enrollment inquiries from prospective students.
- Under the direction of Coordinator, Admissions and Marketing, help develop and implement campus-based and program-specific marketing and recruitment strategies.
- Ensure all student recruitment and admissions practices comply with current internal and external admissions policies.
- Manage CEs for Airways (MTSA newsletter).
- Provide input on how to improve processes based on feedback.
- Perform other duties as assigned.

WORKING CONDITIONS
Work is typically performed in an office environment with a high level of public contact, both over the phone and in person. During peak recruitment periods incumbent will typically work extended hours, including weekends. Ability to provide own transportation to and from campuses and/or offsite functions may be required.
Occasional light lifting of large quantities of recruiting materials and display equipment that may weigh 30-50 pounds required. During peak recruiting seasons requires long hours of standing on hard floors.
